All foreigners intending to enter Spain must provide the documentation required to justify the reasons and duration of their stay and in some cases, the availability of adequate economic means and lodging. If you require a visa, applications can be made at the Spanish Diplomatic and Consular Representations in your country of residence at least 15 working days prior to the date of departure but not more than 90 days before departure.
Invitation Letters
Be aware that Invitation Letters will be handed over only after payment of the congress fee is complete. Furthermore, please note that we can only issue such letters electronically (PDF format) and are not able to send you a hard copy nor will the Spanish embassy. Also, please be patient as it may take some days before you will receive the confirmation letter as an attached file.
If you wish to receive an Invitation Letter, please:
1. Double check if you have registered and paid the congress fee.
2. Send your first name, family name, address, date of birth, nationality, number of passport, date of passport issue, and passport expiry date to helpdesk@klinkhamergroup.com. The letters will also state the congress title, dates, location and payment confirmation of registration fees.
The congress secretariat will send the Invitation Letter (by email in PDF) as soon as possible.
Issuing an Invitation Letter does not financially obligate the congress organizers and secretariat in any way. All expenses incurred in relation to the congress are the sole responsibility of the attendee.
What if my visa application is denied?
In case the visa application is denied by the Spanish Embassy, the visa applicant usually receives an official statement that his/her application is denied (without indication of the reason). If your visa application is denied, you will need this official statement as essential requirement for the refund of your registration fee.
On the condition that the required documents are emailed to the congress secretariat 3 weeks before the start of the congress at the latest, the registration fee will be fully refunded. However the organisers reserve the right not to refund the registration fee in case of inadequate or false information sent to them. Once again, we urgently advice you to apply for visa in time, preferably at least three months before departure.
